Questions to Ask When Hiring a Moving Company

A practical checklist of questions to ask movers (local and long-distance) to avoid surprises, hidden fees, and moving-day chaos.

Hiring the right mover can be the difference between a smooth move and a stressful mess. The biggest problems people run into—unexpected fees, damaged items, late arrivals, “that wasn’t included”—usually happen because the details weren’t clarified early.

ZenMove rule: Get it in writing

Ask for answers by email (best), or text (also fine). If it’s not documented, it’s easy for details to change on moving day.

Questions for a local moving company

1) Will you do an in-home (or video) estimate?

Reputable movers prefer a proper walk-through—either in person or by video—so they can quote accurately. It helps identify tight staircases, elevator rules, long carries, heavy items, and parking/loading constraints.

2) What extra charges could apply?

Ask for a clear list of potential “extras” and have them confirm the fees in writing:

3) What equipment and protection do you bring?

Professional movers should arrive with professional gear. Ask if they provide:

4) How many movers are included—and what if you need more?

Clarify how many movers show up, and what the rate is if an extra mover is added. Too few movers can turn a “cheap hourly rate” into a more expensive day.

5) Are your workers insured (WSIB / workers’ comp)?

Ask for proof of workers’ compensation coverage. If a worker is injured on your property and the company isn’t properly covered, liability can get messy. If they won’t provide documentation, move on.

6) What insurance protects my belongings—and how do claims work?

Ask these specifics:

7) Can you share reviews, references, or examples of recent moves?

Look for consistency: recent reviews, experience in your area, and a track record of professional communication. A reputable company won’t get defensive when you ask.

Questions to ask a long-distance mover

Long-distance moves are more complex: longer timelines, more handling, possible storage, and higher total cost. That makes clarity and documentation even more important.

1) How is the estimate calculated: weight, volume, or flat rate?

Most long-distance quotes are based on weight, but some use volume or a flat rate. Ask what method is used and how it’s verified. If they quote by weight, ask about certified weigh scales and weigh tickets.

2) Will you do an in-home estimate?

For long-distance moves, an in-home estimate (or detailed video walkthrough) helps prevent “guess quotes” that balloon later. If a company insists on quoting phone-only without details, keep shopping.

3) Are you the carrier, or a broker?

Ask directly who is responsible for pickup and delivery:

4) Do you provide a labeled inventory?

Reputable long-distance movers use an inventory system (numbered stickers + item list). You should also take photos of each room before pickup and keep them on your phone.

5) What “replacement value protection” options are available?

Ask for coverage details in writing. Without added protection, some standard liability coverage can be surprisingly low. Also ask whether protection differs for items you packed yourself versus items the company packed.

6) What’s the delivery window and where are items kept in-between?

Ask:

Quick decision filter

If a mover won’t answer basic questions, won’t put details in writing, or gets annoyed when you ask about insurance and fees—choose someone else.

Tip: When comparing quotes, focus on value (clarity, protection, process) — not just the lowest starting price. A cheap quote can become expensive fast if “extras” show up later.
